Position Overview:

The Executive Assistant will collaborate with, and support, the Leadership team, Finance and Talent. This position will be located in L.E.K.’s Mumbai office (Nariman Point). We expect this role to look after Senior Management Secretarial Support, Case Team Administration and General Office Administration.

Key Relationships:

  • Reports to: Partner, Singapore & Mumbai Office
  • Additional reporting relationships: SE Asia partners and staff, who are located across the Singapore and Mumbai office locations


Major Responsibilities:

The major responsibilities of this role will focus upon, but may not be limited to, the following activities:


1.   Senior Management Secretarial Support

  • Daily administrative and secretarial support including scheduling of various meetings and travel arrangements, documentation, correspondence, presentation, timesheet management and expense claims
  • Process insurance claims for senior management including their qualifying family members under company relevant policy coverage
  • Update Partners Outlook Contact with business name cards input via scanner to facilitate eventual CRM rollout, execution and reporting purpose
  • Logistics coordination for overseas LEK visitors which include hotel booking and other miscellaneous logistics


2.   Case Team Administration

  • Administration support to the case team, which includes but not limited to travel arrangement, presentation decks preparation, scheduling meetings.


3.   General Office Administration

  • Answering/Screening calls and attending to visitors and guests
  • Handle incoming and outgoing mails including local and overnight couriers
  • Arrange meeting room, audio or video conferencing as required with proper records and rates checked for monthly recharges
  • Supporting company internal and external events and team outings


4.   Special projects, examples may include:

  • Assisting with CRM roll-out
  • Assisting and understanding SAP / Concur time and expenses management system
  • Understanding new travel management system

For each of these projects, you will work directly with and report to the project lead


Candidate Requirements:

  • Strong communication skills (both written & verbal)
  • Strong organisational skills and the ability to prioritise multiple tasks in a face-paced environment
  • Excellent interpersonal skills; approachable and possessing the ability to build strong relationships both internally and externally
  • Ability to work independently, but also collaborate effectively with the team
  • A high level of professionalism, enthusiasm, and a positive team player
  • Attention to detail and a passion to excel


Candidate Qualifications

  • University degree or business-related discipline
  • Previous experience in a professional services environment, with experience at a consulting/ advisory firm preferred
  • Track record of effectively collaborating with others
  • Excellent written and oral communications skills
  • Familiarity and experience with Excel, PowerPoint and Microsoft Outlook.
